These Terms and Conditions ("Terms") govern the rental of equipment from London Rental Shop ("we", "us", "our") to the customer ("you", "the Renter"). By submitting a booking request or collecting equipment, you agree to be bound by these Terms. Please read them carefully.
1. RENTAL AGREEMENT
1.1 A rental agreement is formed when we confirm your booking in writing (by email or through our platform) and you sign the digital rental agreement.
1.2 The rental period begins at the agreed collection or delivery time and ends at the agreed return time on the agreed return date.
1.3 Equipment remains the property of London Rental Shop at all times. You have no right to sublease, lend, or transfer the equipment to any third party without our prior written consent.
1.4 We reserve the right to refuse any rental request at our discretion.
2. IDENTIFICATION & VERIFICATION
2.1 Before or at the time of first rental, you must provide a valid, government-issued photo ID (passport, driving licence, or national identity card).
2.2 We may retain a copy of your ID in accordance with our Privacy Policy and applicable data protection law.
2.3 We reserve the right to decline a rental if we are unable to verify your identity to our satisfaction.
3. PAYMENT
3.1 Rental charges are calculated at the daily rate stated on our website for each item, multiplied by the number of rental days.
3.2 Payment is due in full prior to or at the time of collection, unless otherwise agreed in writing.
3.3 Accepted payment methods: bank transfer, debit/credit card, or cash.
3.4 We may require a refundable security deposit for high-value equipment. The deposit will be returned in full within 3–5 business days of the equipment's safe return, subject to inspection.
3.5 All prices include VAT where applicable.
4. COLLECTION & RETURN
4.1 You must collect and return equipment at the agreed times. Collection and return outside agreed hours requires advance notice and our express agreement.
4.2 Late returns will be charged at the applicable daily rate for each additional day (or part thereof) the equipment is held beyond the agreed return date.
4.3 Equipment must be returned in the same condition as collected, with all accessories, cables, cases, and original packaging included.
4.4 We will carry out an inspection upon return. You will be informed of any charges arising from damage, missing accessories, or excessive wear at this point.
5. YOUR RESPONSIBILITIES
5.1 You are fully responsible for the equipment from the time of collection until the time of return.
5.2 You must use the equipment in a reasonable and proper manner, in accordance with the manufacturer's guidelines.
5.3 You must keep the equipment secure and protected from theft, loss, and damage.
5.4 You must not modify, disassemble, or attempt to repair the equipment.
5.5 You must not use the equipment for any unlawful purpose.
6. DAMAGE, LOSS & THEFT
6.1 You are liable for any damage to, or loss or theft of, the equipment during the rental period.
6.2 In the event of damage, we will assess the cost of repair or replacement at our discretion. You will be charged the lower of the repair cost or the replacement value of the item.
6.3 In the event of theft, you must report the theft to the police immediately and provide us with a valid crime reference number. You remain liable for the replacement cost of stolen equipment.
6.4 Normal wear and tear (minor scuffs, dust) is not chargeable. Significant cosmetic damage, physical damage, water damage, or electronic failure caused by misuse will be assessed and charged.
6.5 We strongly recommend that you hold adequate equipment insurance prior to rental.
7. CANCELLATIONS
7.1 Cancellations made more than 48 hours before the rental start date: no charge.
7.2 Cancellations made between 24 and 48 hours before the rental start date: 25% of the total rental charge.
7.3 Cancellations made less than 24 hours before the rental start date, or no-shows: 100% of the total rental charge.
7.4 In the event we need to cancel due to circumstances beyond our control, we will provide a full refund of any amounts paid.
8. LIMITATION OF LIABILITY
8.1 We are not liable for any indirect, consequential, or special loss arising from equipment failure, malfunction, or unavailability, including but not limited to: lost bookings, lost income, or production costs.
8.2 Our total liability to you shall not exceed the total rental charges paid for the relevant rental period.
8.3 Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.
9. PRIVACY & DATA
9.1 We collect and process personal data (name, email, phone, ID information) in order to manage your rental and comply with our legal obligations.
9.2 We will not sell or share your personal data with third parties except where required by law.
9.3 Data is processed in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
10. GOVERNING LAW
10.1 These Terms are governed by and construed in accordance with the laws of England and Wales.
10.2 Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
11. CHANGES TO THESE TERMS
We reserve the right to update these Terms at any time. The date of the most recent revision is shown at the top of this page. Continued use of our services after changes constitutes acceptance of the updated Terms.
